Track My Staff · Corporate CRM & Work Performance Platform

One workspace where customer relationships lead to accountable work — and accepted work produces evidence.

Capture an inquiry, qualify a sale, coordinate work, gather evidence, approve delivery and evaluate outcomes — inside one tenant-isolated workspace built for Saudi organizations, in Arabic and English.

  • Installable PWA
  • Arabic RTL · English LTR
  • Tenant-isolated

By DuckDeals, Riyadh · Editions Core, Business and Enterprise · Installable PWA

Illustrative dashboard drawn from the commercial profile — example figures, not customer data.

01Platform at a glance

Built to be measured, not just used

  • 18Functional modules from tenancy to analytics
  • 7Governed KPIs with versioned formulas
  • 16–22Calendar weeks to an indicative MVP
  • 3Editions with cumulative capability
  • 14Distinct roles with stated boundaries
  • 2Languages: Arabic RTL and English LTR

02Positioning and value chain

Continuity from inquiry to evidence

The strongest differentiator is continuity between customer context and accountable execution — one unbroken chain, six governed stages.

  1. 01

    Capture an inquiry

Lead intake with source and owner recorded

  2. 02

    Qualify a sale

Identity, need and fit checked before the pipeline

  3. 03

    Coordinate work

    One accountable owner per task

  4. 04

    Gather evidence

    Permitted photos, notes and submissions

  5. 05

    Approve delivery

An independent reviewer accepts the revision

  6. 06

    Evaluate outcomes

    Scores traceable to source records

Every state change names its actor and writes its record. A completed task means accepted work, not submitted work — which is what makes the resulting performance measures defensible.

03Module catalogue M01–M18

Eighteen modules, one codebase

Identical module contracts and migrations across editions. Brand labels, fields, pipelines and entitlements are configuration — never customer-specific code forks.

What the platform does not claim to own

Honest edges build trust. Four areas stay with their rightful system of record — the platform references them; it never pretends to be them.

Finance
Quotes and contract references are tracked here. An accounting integration remains the authority for invoices, cash receipts and statutory tax records.
Employment
Approved effort is tracked. Payroll and employment decisions stay with an authorized HR process.
Signature
Task evidence signatures are acknowledgements only, unless an appropriate e-signature service is integrated.
AI
AI summaries are optional later features, always with human review.

“Agent” means a human representative, not an autonomous AI agent. Continuous background GPS is never promised through a PWA — check-in is an explicit action taken by the person on site.

04Roles and access

Built for every role, with a stated limit

Three kinds of people, three access models. Each record, field, export and attachment is authorized independently.

Staff

Employees hold staff profiles attached to their membership, with department, team and effective-dated reporting lines.

  • Assigned work, activity and own results
  • Own KPI detail, own scorecard only
  • No unrestricted customer export
  • No peer scorecards

External agents

External agents have a sponsor, an expiry date, allowed accounts, a territory and explicit assignments.

  • Assigned customer visits and follow-up
  • Explicit grants with expiry; private portal
  • No internal margin or staff scorecards
  • Cannot see other agents’ records

Customers

Customer-portal users access only deliberately published records for their own authorized customer account.

  • Submit requests, review published results
  • Request forms and requested input
  • No internal discussions or targets
  • No internal costs

Nobody approves their own completion — in any role, in any edition. Review is an explicit, independent state.

Completed means accepted. Every transition records its actor, its checks and its result.

05Product experience

The next action, before the data

An installable web app for desktop and mobile — no app store, one codebase, and the same permissions everywhere.

  • Installable PWA

Works on the phones your employees and agents already carry. Large touch targets, labelled inputs and clear errors are essential, not polish.

  • Explicit sync status

Offline drafts (Business edition) queue with visible states — pending, syncing, applied, conflict. Approvals never use last-write-wins.

  • Arabic and English

RTL and LTR with logical CSS properties. IDs, email addresses and phone numbers stay readable in mixed-direction text.

  • Light and dark

Two themes designed independently with semantic tokens, tenant branding and enforced contrast thresholds.

  • Check-in is explicit

No continuous background GPS. Location is an optional, permitted capture taken by the person on site — never silent surveillance.

06KPI framework K01–K07

Numbers you can defend in a review

Every result links back to its source record IDs, exclusions, formula version and calculation run. Reopened work triggers a restatement — the previously published version is retained.

  • K01

    On-time accepted delivery

Tasks accepted by frozen commitment ÷ eligible tasks due × 100

    Higher is betterExample target 90%
  • K02

    First-pass acceptance

First submissions accepted without return ÷ reviewed × 100

    Higher is betterExample target 95%
  • K03

    Rework rate

Tasks returned at least once ÷ tasks receiving review × 100

    Lower is betterExample target 5%
  • K04

    Overdue open backlog

Eligible open tasks past committed due time at snapshot

Lower is betterReported as a count
  • K05

    Lead response

Median business minutes from lead receipt to first meaningful response

Lower is betterExample target 60 min
  • K06

    Cohort qualification

Cohort leads qualified by observation cutoff ÷ eligible cohort leads × 100

Higher is betterTarget set by segment
  • K07

    Closed-deal win rate

Won deals closed ÷ (won + lost deals closed) × 100

    Higher is betterExcludes open deals
  • The evidence chain

    1. Source record
    2. Frozen cohort
    3. Formula version
    4. Calculation run
    5. Published score
    6. Appeal

Coverage is on the screen

A composite is suppressed where valid-weight coverage falls below the agreed threshold (proposed 80%) rather than shown as a confident number.

Small samples stay provisional

Below the minimum sample (proposed 10 reviewed submissions) results remain visible but are never league-table ranked.

Never divide by zero

A missing denominator is N/A, not zero. A true actual of zero may be valid. Agent and employee credit shares for the same revenue must total 100%.

07Security, privacy and governance

Authorize every record, field and export

Isolation, MFA capability, audit fundamentals and secure backup are present in Core, Business and Enterprise alike — never premium-only controls.

  • Tenant isolation

Every request runs in one explicitly selected tenant context. Cross-tenant reads, merges and exports are blocked at the data layer as well as the application layer.

  • Identity and MFA

Multi-factor authentication capability, session control and scoped integration keys with no interactive login. Each record, field, export, attachment and bulk operation is authorized independently.

  • Immutable audit

Cancellation is an event with a reason, never a deletion. Retired records keep a redirect. Reopened work retains the previously published version.

  • Data protection (PDPL)

Retention, privacy requests and backups are administered features aligned to the Saudi Personal Data Protection Law. Sensitive identifiers are encrypted and masked.

A disconnected device cannot be guaranteed to erase its cache immediately. Exposure is reduced by minimal fields, a short cache lifetime, and the option to disable offline data entirely for sensitive tenants.

08Editions

Three editions, one codebase

Capability is cumulative. Each edition contains everything in the one before it.

Core

For a first pilot: the full CRM-to-accountable-work chain, online.

  • CRM and customer master
  • Tasks and internal teams
  • Basic agents
  • Basic dashboards
  • PWA online mode

Business

Everything in Core, plus the controls that field operations need.

  • Advanced approvals
  • Recurrence
  • Offline drafts and sync
  • Configurable KPIs
  • Integrations and custom fields

Enterprise

Everything in Business, plus governance and contracted service targets.

  • Dedicated deployment options
  • Advanced SSO and provisioning
  • Governance
  • Richer analytics
  • Contracted service targets

A downgrade disables new premium operations while keeping existing data readable — customer records are never deleted automatically because a subscription changed.

10Invoicing and payment partners

Who owns what

Track My Staff records quotes, contract references and payment status. The accounting and payment providers remain the authority for invoices, cash receipts and statutory tax records.

  • Aliphia

Invoicing engine. Issues the customer invoice and holds the statutory invoice record.

  • ZATCA

The Saudi Zakat, Tax and Customs Authority, whose approval the invoicing provider carries.

  • PayMob

Payment links. Card and local payment handling, settlement and status.

11Onboarding

From signature to go-live

Nine steps, starting with a discovery workshop: two to three weeks to a signed scope, sample data, role policy and agreed KPI definitions.

  1. 01Discovery workshop
  2. 02Organization and roles setup
  3. 03Branding and domain
  4. 04Pipeline and task templates
  5. 05KPI policy workshop
  6. 06Migration dry run
  7. 07Administrator training
  8. 08Employee and agent training
  9. 09Acceptance signoff

Settled before go-live

  • Company names and legal entities
  • Branches and teams
  • Working week and holidays
  • Languages, timezone and currency
  • Pipeline and required stages
  • Agent access expiry
  • KPI periods and formulas
  • Offline policy
  • Migration sources
  • Acceptance owners

Pilot success is measured by real workflows completed, not logins. Login count by itself is not adoption.
